This document specifies the complete sea freight transportation scheme and standardized process for large-scale food processing machinery (mixers and cutting machines) exported to Indonesia for October exhibition participation, covering cargo parameters, packaging standards, transportation schedule, customs clearance arrangement, warehouse storage and on-site exhibition delivery precautions, so as to ensure the safe and punctual arrival of exhibition goods and support smooth exhibition layout.
1. Basic Cargo Information
The exhibition goods consist of two pieces of large food machinery, including food mixers and food cutting machines. The single external dimension of each equipment is 420cm × 141cm × 147cm. Due to the oversized size and heavy weight of the equipment, standardized heavy-duty wooden packaging and professional sea freight transportation procedures are adopted to avoid cargo damage and transportation delays.
2. Professional Packaging Standards for Large Machinery
To adapt to long-distance sea transportation, loading and unloading operations and warehouse storage, all large food machinery must be packed with customized wooden cases. The packaging strictly follows industrial heavy-duty transportation specifications: high-quality compressed wood boards are used as the main packaging material, which features high hardness, compression resistance, moisture resistance and strong structural stability, effectively preventing equipment collision, extrusion and moisture damage during sea freight and transshipment.
In addition, each wooden case is reserved with four-sided forklift foot grooves, facilitating flexible mechanical loading, unloading, handling and warehouse stacking operations, improving transportation and storage efficiency, and avoiding operational damage caused by inconvenient handling of oversized goods.
3. Transportation Time Arrangement & Advance Shipping Strategy
The Indonesia exhibition is scheduled for October, and we adopt an advance shipping strategy of 2 to 3 months in advance, officially arranging sea freight transportation in July. All exhibition goods are required to complete sea shipment, destination port customs clearance and warehousing procedures before October to ensure 100% on-time delivery.
Advance transportation is a core guarantee for the smooth participation in the exhibition. It can effectively avoid multiple uncontrollable risks in international sea freight, including vessel schedule delays, Indonesian customs inspection detention, port transshipment congestion and other unexpected situations. Sufficient time buffer eliminates the risk of exhibition failure caused by delayed cargo arrival, and reserves adequate time for subsequent cargo arrangement and exhibition preparation.
4. Complete Sea Freight & Customs Clearance Process
First, after the completion of standardized wooden case packaging, the goods will be delivered to the domestic port warehouse for shipment arrangement, and complete China’s export customs declaration and inspection procedures. Then the goods will be shipped by sea freight to Jakarta, Indonesia. After the cargo arrives at the destination port, professional local agents will handle import customs clearance, duty settlement and commodity inspection procedures efficiently.
After the goods are fully cleared by Indonesian customs, they will not be directly delivered to the exhibition venue. Instead, they will be transported to our exclusive fixed warehouse in Jakarta for centralized storage and safe custody. The goods will be kept in the warehouse in good condition until the official confirmation of the exhibition layout schedule. According to the actual on-site deployment demand of the exhibition, we will arrange secondary delivery to the exhibition venue in a timely manner.
5. On-Site Exhibition Delivery & Cost Precautions
In terms of on-site delivery rules, it is necessary to clarify the delivery scope in advance: our logistics vehicles can only deliver the exhibition goods to the entrance of the Indonesia exhibition venue, and do not support door-to booth delivery and on-site handling and layout services.
To avoid temporary high on-site service fees and unbudgeted additional costs, we must actively contact the official exhibition organizing committee in advance to fully confirm the official charging standards for on-site container unloading, cargo dismantling and booth layout services. Clarify all service items, charging rates and settlement rules in advance, lock in relevant expenses, and effectively control the exhibition logistics cost budget while ensuring smooth on-site layout.
