Reliable DDP Exhibition Logistics|Full-Case Record of Qingdao Food Machinery Shipment for Thailand PROPAK ASIA

PROPAK ASIA stands out as the most authoritative and influential professional exhibition focusing on food processing and packaging machinery in Southeast Asia. It serves as a vital bridge for Chinese manufacturing enterprises to display advanced equipment, connect with local buyers, and expand the Southeast Asian market. Different from conventional general cargo transportation, exhibition logistics imposes extremely strict requirements on timeliness, safety and service standard, as any delivery delay or cargo damage will directly lead to missed exhibition participation, resulting in substantial economic losses and wasted brand promotion opportunities. For this project, Yunze Logistics provided one-stop DDP double customs clearance door-to-door logistics services for a Qingdao-based food machinery enterprise, delivering exhibition equipment to the Bangkok exhibition venue. Through precise schedule control, risk-averse transportation planning and full-process tracking, we successfully completed the exhibition logistics guarantee with on-time delivery and intact cargo condition. This paper records the whole operation process and core service advantages of this project in detail.

1. Project Background & Customized Logistics Solution

On May 17, the client submitted an urgent transportation demand: a batch of core food processing machinery needed to be shipped from China to Bangkok to support the enterprise’s participation in the PROPAK ASIA exhibition scheduled to open on June 10. In accordance with the official exhibition rules, no cargo handling, delivery or booth arrangement is permitted on the opening day. All exhibition equipment must be fully delivered, unloaded and placed in place before June 9, leaving a very tight overall logistics cycle and zero margin for schedule delays.

The consignment consisted of three sets of large-scale heavy-duty food processing equipment, with oversized dimensions and heavy weight, which belongs to special large mechanical cargo. The specific cargo specifications are as follows: 580kg meat grinder (1600*980*1410mm), 720kg filling machine (2600*1300*1940mm), and 670kg tumbling machine (2540*1700*2070mm). In view of the special attributes of exhibition cargo and the latest logistics situation in the Indochina region, our team conducted a comprehensive risk assessment. Recently, the China-Thailand land transportation route via Vietnam has faced frequent intensive customs inspections, which easily causes cargo detention and schedule delays, failing to meet the strict timeliness requirements of exhibition shipments.

To completely eliminate delivery risks and fully guarantee the client’s exhibition schedule, we customized a sea freight DDP double customs clearance tax-inclusive door-to-door logistics solution. This solution features stable sailing schedules, controllable full-cycle timeliness, low inspection probability and high operational stability, with a standard transit cycle of 16 days, fully matching the client’s urgent delivery needs. Considering the large size and heavy weight of the mechanical equipment, we adopted a separate double-container loading scheme to avoid cargo extrusion, collision damage and over-limit issues during transportation. Meanwhile, we reminded the client in advance to affix standard equipment nameplates and complete cargo packaging in line with Chinese and Thai customs declaration standards, laying a solid foundation for smooth subsequent customs clearance.

2. Domestic Collection, Loading & Ocean Shipment Arrangement

Immediately after confirming the final solution, we launched full-process project operation and set up a dedicated customer service team to track cargo dynamics 24/7 throughout the journey. The client arranged special vehicles to transport the three sets of equipment from Qingdao to our centralized warehouse in Guangzhou, and all cargo arrived safely at noon on May 19. To compress transit time and improve overall operation efficiency, we pre-booked standard containers and reserved loading quota in advance. Upon cargo warehousing, we immediately carried out cargo counting, appearance inspection, parameter verification and standardized container loading, realizing seamless docking between warehousing and shipment and effectively shortening the overall operation cycle.

We selected SITC Shipping, which is renowned for stable schedules and high service quality on the China-Thailand route, to undertake the ocean freight. The container cutoff time was scheduled on May 23, with official vessel departure on May 24. The initial arrival time at Thailand Laem Chabang Port was scheduled on May 29. Our team strictly controlled every time node of the whole process, completing all container loading and cargo inspection work two days ahead of the cutoff date. We sorted out and checked all customs declaration documents in advance to avoid document missing, information errors and other problems that might affect shipment customs clearance. Due to minor normal adjustment of the airline schedule, the vessel arrived at Laem Chabang Port on May 30, which was within the controllable range and did not cause any schedule delay.

3. Port Customs Clearance, Unpacking & On-Site Exhibition Delivery

We submitted complete and standardized declaration documents on the arrival day, followed up the customs review progress in real time, and efficiently completed port inspection, tax verification and customs release procedures.
